WVCC Roles and Responsibilities

Our Club has a small committee – a group of people that manages its affairs and/or leads it into the future.  The committee is drawn from members of the association and is elected by them, usually at an annual general meeting (AGM).  There are a minimum of 4 Committee meetings per annum.  Some of the roles and responsibilities are listed below.

Chairman

  • Lead meetings of the Committee, acting as the chair, moving the meeting forward 
  • Ensure clear policies/procedures and priorities, keeping the Committee on track 
  • Act as the main spokesperson, representing the Club at group functions, meetings or in the press
  • Take urgent action between meetings when it isn’t possible or practical to hold a meeting
  • Chair Annual General Meeting

Treasurer 

  • Presenting financial reports to the board in a format that helps the board understand the Committee’s financial position.
  • Overseeing the preparation and scrutiny of annual accounts
    • Day-to-day financial duties, such as book-keeping, budgeting, and preparation of reports.

Club Secretary 

  • Contact point for Croquet England and South West Federation of Croquet (CE & SWF) – distribution of information to members from CE/SWF and reply as appropriate
  • Contact point/liaison for Winterborne Stickland Sports and Community Club (WSSSC) and Winterborne Parish Council 
  • Send notice of AGM and any EGM to members incorporating agenda and based on pro forma – wording is agreed with Chairman/Committee
  • Receive any AGM resolutions requested by members and refer to committee 
  • Issue agenda for committee meetings – book meeting rooms
  • Distribute minutes, newsletters / CE & SWF information and other information
  • Maintain club calendar of events and issue updated versions when necessary.

Minutes Secretary 

  • Take minutes at Committee Meetings/AGM
  • Forward minutes to Club Secretary for checking and circulation to all Committee Members
  • Follow up outstanding actions

Membership Secretary 

  • Register new members – provide with welcome pack and set up each member with access to the online booking system 
  • Maintain list of members – update annually
  • Collect subscriptions and pass to treasurer 
  • Maintain CA membership database
